This page explains what parent and player information is collected for bookings and coaching, why it is needed, and how parents can access or delete it.
Who uses the data?
Tz121 Coaching is responsible for the football coaching service and decides what parent and player information is needed. crm.football provides the booking and CRM system for the coach and processes data only to run that service.

What is collected?
Parent contact details, child name and date of birth, booking history, payment status, session attendance, coach notes, and answers to the intake form.
Intake questions may include medical details, allergies, learning support, education context, ethnicity, football experience, weekly programme, preferred position and parent notes. Sensitive questions are optional unless the coach needs a specific answer to run the session safely.
Why it is collected?
The information is used to run bookings, understand each player, coach safely, manage group capacity, contact parents about sessions, and keep a private record of what has been booked or attended.
Booking and account details are used to provide the coaching service. Optional sensitive details are used only for coaching safety and player support. It is not used for automated decision-making, profiling, or public player promotion.
How it is protected?
Parent and coach accounts are password protected. Sensitive intake answers are stored encrypted at rest and only shown to the parent account and authorised coach accounts. Coach reads of intake records are audit logged.
This replaces paper forms, phone photos and loose WhatsApp attachments for new intake records. Parents should only provide information that is relevant to coaching.
How long it is kept?
Sensitive intake records are removed after 12 months of inactivity, or sooner if a parent deletes the child record. Booking and payment history may be kept where needed for admin, accounting or dispute records.
Parent and child rights
From the parent account, parents can download their data, view a child's intake, delete a child record, or close the parent account. Children have their own data rights where they are competent to exercise them.
